Easy Audit Quality Portal is a product of Golden Phi. References to “we”, “us”, or “the operator” mean Golden Phi, which provides and operates this platform.
These Terms of Service (“Terms”) govern access to and use of Easy Audit Quality Portal, a product of Golden Phi. By creating an account, signing in, or using any part of the platform, you agree to these Terms.
1. The service
The platform provides tools for quality management in the food, pharmaceutical, and regulated supply-chain sectors — including document control, certificates, products, batch traceability, action plans, approvals, and sector-aware company profiles. It is also available to adjacent industries (e.g. warehousing, logistics, laboratories) where the same compliance patterns apply. Features may vary by subscription, selected industry, company configuration, and user role.
2. Accounts and eligibility
- You must provide accurate registration information, including your organization’s industry / sector, and keep it up to date.
- Company accounts are provisioned by an administrator or through an approved company request process.
- The service is intended for organizations and professionals in food, pharma, packaging, raw-material supply, and comparable regulated industries.
- External auditors and certification bodies must complete any required verification steps before accessing granted data.
- You are responsible for safeguarding your password and all activity under your account.
3. Acceptable use
You agree not to:
- Access data outside the scope of your role, grant, or company membership.
- Upload malware, unlawful content, or material that infringes third-party rights.
- Attempt to bypass security, probe vulnerabilities, or interfere with service availability.
- Share credentials or external access codes except as authorized by your organization.
- Use the platform for purposes unrelated to quality, compliance, or audit activities without written approval.
4. Customer and tenant responsibility
Organizations using the platform are responsible for the accuracy of data they enter, for configuring user permissions appropriately, and for determining what information may be shared with clients, auditors, or the public.
5. External access grants
When a company invites an external auditor or reviewer, access is limited to the modules and records defined in the grant. External users must comply with confidentiality obligations communicated by the inviting organization (including any NDA presented in the portal) and with these Terms.
Consultant vs auditor Write rights. Write access to products, certificates, quality systems, and company profile may be granted only to accounts registered as Consultant. Certification-body, second-party, and third-party auditor accounts do not receive those catalog Write rights (even if requested in a grant form), so a company can confirm that an independent review is not performed under an editing persona. Action Plan / CAPA write (including evidence upload) may still be granted to any auditor type when included in the grant. Organizations that need both consulting edits and independent verification should use separate accounts for each role.
6. Intellectual property
The platform software, branding, and documentation are owned by Golden Phi or its licensors. You retain ownership of content you upload. You grant us a limited license to host, process, and display that content solely to provide the service.
7. Availability and changes
We strive for reliable uptime but do not guarantee uninterrupted access. We may modify features, perform maintenance, or discontinue parts of the service with reasonable notice where practicable.
8. Disclaimer
The platform assists with record-keeping and workflows for food, pharmaceutical, and supply-chain quality activities; it does not replace professional judgment, regulatory advice, GMP/food-safety consultancy, or certification decisions. You are solely responsible for compliance with applicable laws and standards for your industry and markets.
9. Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential damages arising from use of the platform. Our aggregate liability for any claim relating to the service is limited to the fees paid by your organization for the service in the twelve months preceding the claim, or zero if no fees were paid.
10. Suspension and termination
We may suspend or terminate access for violations of these Terms, security risks, or non-payment where applicable. You may stop using the service at any time; your organization administrator may request account deactivation.
11. Fees and refunds
Paid subscriptions and refund eligibility are described in our Refund Policy.
12. Governing law
These Terms are governed by the laws applicable to Golden Phi and this deployment, without regard to conflict-of-law principles. Disputes should first be raised through our Contact Us channel.
